Conservation Connection at the Zoo Planning 2008

Dear Friend in Conservation,

A region-wide celebration of conservation, “Conservation Connection at the Zoo”, has been planned for the evening of Saturday, May 3rd, at the Pittsburgh Zoo and PPG Aquarium. The focus of the evening will be meeting and sharing ideas with other conservation-minded people and organizations, while enjoying a delicious dinner, several activities including behind-the-scene tours of the Zoo, and fun. Tickets must be purchased in advance, and will become available on March 15th for purchase online at www.westmorelandconservancy.org . We hope that you and others from your organization will be able to join this exciting event!

As plans develop, detailed information about Conservation Connection at the Zoo will be posted at www.westmorelandconservancy.org .

At this time, we are emailing to let your organization know about the many ways in which you can participate in the event. Please look over the attached listing, and consider whether one or more of these opportunities interests you. Contact information is listed for each of the choices.

We ask that conservation organizations especially note Item #4 on the list. Should you wish to secure cross-promotion of your organization, we will welcome submittal of your logofor inclusion in publicity materials, but must ask that it be submitted no later than March 20th. Our plan is to prepare an event poster featuring the logos of western Pennsylvania's conservation organizations. We have invited over 80 conservation organizations from western Pennsylvania to participate in Conservation Connection at the Zoo.

How Can We Participate in Conservation Connection at the Zoo?

There are many, many ways that your organization can participate in “Conservation Connection at the Zoo”, the region-wide celebration of conservation planned by the Westmoreland Conservancy for Saturday, May 3rd, 2008:

1) Help with planning

Your members can help plan the event. If you would like to add your creative input and energy to our planning effort, please contact Cary Bohl at contact@westmorelandconservancy.org .

2) Spread the word on your website and in newsletters

Your organization can help spread the word about “Conservation Connections at the Zoo” by including a brief notice on your website and in your March and April newsletters. Sample notices are shown on the last page. (If possible, emailing mention of this publicity to Joanne Kendall at contact@westmorelandconservancy.org would be very useful.)

3) Host exhibit table space

Your organization or business can reserve exhibit table space, to share information about your activities and reach out to a large conservation-minded audience. A 4 foot length of table space (half of an 8 foot table) is available for $75 + the cost of admission for those “manning” the table. If you would like to secure exhibit table space, please contact Ron Patun at contact@westmorelandconservancy.org .

4) Lend use of your logo

We will welcome submission of logos of conservation organizations for inclusion in publicity materials for Conservation Connection at the Zoo. (We must ask that logos be submitted no later than March 20th.) Our plan is to prepare an event poster featuring the logos of western Pennsylvania’s conservation organizations. 5) Host an activity

If you would like focused exposure along with the opportunity to substantively add to the event, your organization can host an activity. Here are some known opportunities for hosting; you may wish to propose another.

6) Volunteer at the event

Your members can volunteer to help out before or at the event, in many ways: Helping with set up or tear down

Acting as a ‘concierge’ to direct guests

Staffing the silent auction, or the ticket table for wine and beer sales

7) Send photos for Slide Show

A background slide show is planned, of photos of conservation activities and our region’s flora and fauna and areas of natural beauty. Conservation organizations are invited to submit up to 20 of your members’ photos; the number is limited to ensure inclusion of photos from all groups. Please include this information for each photo in your transmittal:

8) Submit items for Silent Auction

A silent auction is planned, for which your conservation organization, or members, can submit items to be auctioned with the proceeds from their sale going to your conservation organization. Businesses are invited to submit items with the proceeds from their sale going to the event. Are there items that your organization or members would like to submit for the silent auction? 9) Support the event as a Sponsor, Supporter, or Friend

Would your organization like to consider acting as a Sponsor or other supporter of the event? Sponsorship will provide the opportunity for excellent exposure to a large conservation-minded audience. Sponsorship levels are as follows:
Principal Sponsor $5,000 or more
Major Sponsor $2,000 to $4,999
Sponsor $1,000 to $1,999

Supporter $300 to $999

Friend $25 to $299
Sponsors, Supporters and Friends will receive program recognition. Sponsors will also receive access to use of an 8' table for exhibit space, should it be desired.

10) Consider a batch purchase of tickets

To ease ticket order handling by our all-volunteer Conservancy, we encourage your organization to consider a batch purchase of tickets. Tickets will be available for purchase online from March 15th at www.westmorelandconservancy.org .

Regional Conservation Event Planned for the Zoo

The focus of the evening will be meeting and sharing ideas with other conservation-minded people and organizations, while enjoying

    • a delicious dinner with an accent on sustainability in the large Garden Tent
    • behind-the-scenes tours of the Zoo
    • children's activities including a face-painter, a magician, and use of “Windows to Conservation”, a staffed interactive activity room
    • brief talks on topics related to conservation
    • a silent auction
    • a background slide show of our region's flora and fauna and areas of natural beauty
    • the chance to recycle your old cell phone.
